Procedures and Measures in case of “Designated Infectious Diseases”

The Japanese School Health and Safety Act outlines the necessary measures for infectious disease prevention on campus. They include the designation of Infectious Diseases Designated by the Japanese School Health and Safety Act (hereinafter referred to as the “designated infectious diseases”), and the sick leave policy for those diseases. In accordance with the act, students diagnosed with a designated infectious disease cannot attend the university to prevent infection before the end of the required sick leave period. For your information, the procedures, including making a report about the infection to the university, are as follows. (COVID-19 and Influenza are designated infectious diseases.)

1. Getting a Diagnosis from a Doctor

If you have any symptoms of an infectious disease, please see a doctor and get a diagnosis, bringing a printed university form “Certificate of Incidence and Cure of an Infectious Disease Designated by the Japanese School Health and Safety Act(REFERENCE TRANSLATION ). If you do not bring the form, you will need to go back to the doctor with the form and get a diagnosis again in order to determine if you are infectious.
*Submission of the “Certificate of Incidence and Cure of an Infectious Disease Designated by the Japanese School Health and Safety Act” is necessary on the day you return from your sick leave. Also, if you want the university to make consideration to make up for missed classes during your sick leave, you need to submit the form.
*Please do not attend the university while undergoing medical treatment during the period of sick leave required by the doctor.

2. Reporting the Infection to the University

If you are diagnosed with a designated infectious disease, please report it to your school office as follows.

2. Submitting the “Certificate of Incidence and Cure of an Infectious Disease Designated by the Japanese School Health and Safety Act”
(The procedure on the day you return from sick leave.)

Please bring the form filled out by your doctor to your school office (or send it by email).

3. Consideration for Missed Classes during Sick Leave

If you want consideration for classes missed during sick leave, please submit a copy of the “Certificate of Incidence and Cure of an Infectious Disease Designated by the Japanese School Health and Safety Act” filled out by your doctor to your faculties within seven days of your return to the university.
The faculties will make consideration for missed classes as much as possible taking into account the form and type of the classes. For example, they could provide class references, set self-study work and assignments, and provide alternatives to term papers and in-class tests.
However, please note the following.
*It may be difficult to make consideration for missed classes due to the form and type of the classes.
*It may also be difficult if you contact your faculty after the last day of classes for the semester.

4. Arrangements for Missed End of Term Exams during the Sick Leave

If you cannot take the end of term exams due to the infection and wish for the special exams, you need to contact your school office and make the necessary procedures by the due date for applying for the special exams.
