International Residence for Researchers

In order to enhance international academic research activities and promote international exchange in education and research, Meiji University has established the following International Residences for Researchers.
If you would like to stay in the International Residence, please apply through your host faculty and staff (full-time) at Meiji University, upon carefully reading the terms and conditions below.

Note: As the International Residence is not a hotel, they do not provide the same level of service and amenity goods as a hotel.

At Meiji University’s International Residence for Researchers, we have taken the following precautionary measures to prevent the spread of the novel coronavirus (COVID-19) infection.
◆Regular ventilation and disinfection inside the International Residence and wearing of masks by some staff.
◆Restriction on use of some facilities in the common area.
◆Depending on the situation, we may ask visitors (other than guests) to refrain from entering the International Residence.

<To Guests and Host Faculty>
◆We will ask guests and their host faculty to submit a consent form before check-in (details will be announced after reservation is confirmed).
◆We may ask guests to monitor their health for the period before check-in and submit a health observation report (details will be announced after reservation is confirmed).
◆During your stay, please kindly:
 - Avoid face-to-face contact with caretakers (managers) and other guests as much as possible, and maintain social distance between yourself and others.
 - Regularly ventilate your room.
 - Regularly clean your hands with an alcohol-based hand rub or soap.
 - Wear a mask in shared areas of the facility.

Eligibility and allowable period of stay

International Residence for Researchers is available for use by:

Researchers and students from overseas who are joining a program organized by undergraduate schools, graduate schools and affiliated institutions. Within the program period
* Meiji University's full-time faculty and non-tenured faculty are not eligible to stay in the International Residence for Researchers.

Single room: bath (only shower in the barrier-free type), toilet, washstand, kitchen (tableware), single bed, desk, chair, bookshelf, closet, refrigerator, washing and drying machine, TV, air conditioner, vacuum cleaner, microwave.
Twin room: bath, toilet, washstand, kitchen (tableware), two single beds, desk, chair, bookshelf, closet, refrigerator, washing and drying machine, sofa, dining table set, TV, air conditioner, vacuum cleaner, microwave.

Check-in time Weekdays: 8:00a.m - 12:00p.m, 3:00p.m - 8:00p.m, 10:00p.m - 6:00a.m.
Sat, Sun and holidays:  
8:00a.m - 12:00p.m, 3:00p.m - 8:00p.m
If your check-in is other than the check-in time above, the host faculty must select a date/time to pick up room key in the application form.
Check-out time Anytime. Check-out instruction will be provided by the manager after your check-in.

Cancellation Policy

Once your reservation is made, the following cancellation policy will apply when cancelling or shortening the reserved period of stay. This cancellation policy will not apply to cancellations (including shortening the reserved period of stay) when it is proven that it is due to natural disaster or flight delay. In such case, please inform your host faculty/staff.
If cancellation/change is received: Cancellation Fee

7 days to 1 day prior to check-in date If your reservation is 30 nights or less:
50% of rest of the nights fee will be charged.
If your reservation is 31 nights or more:
50% of 30 nights fee will be charged.
On the day / after check-in date / no show If your reservation is 30 nights or less:
100% of rest of the nights fee will be charged.
If your reservation is 31 nights or more:
100% of 30 nights will be charged. When shortening the reserved period of stay (cancelling) after check-in: If your cancellation request is received 60 days or more prior to your new check-out date, no cancellation fee will be charged.

Important notice

1) Guests are requested to respect the condition of the residence, and use its room, furniture and equipment with good care. Guests will be charged for damaged or lost items.
2) Guests are not allowed to have anyone stay over, unless prior approval is obtained.
3) The room is assigned by Meiji University. Guests are not allowed to change/switch rooms without seeking approval from Meiji University.
4) The manager will be waiting at your pre-scheduled check-in time to provide necessary instructions on the residence. If your check-in time and date change suddenly, please contact the residence directly or ask your host faculty/staff to contact the residence.
5) Please check-in during the designated check-in time of each residence. If guest(s) are unable to check-in during the designated check-in time, the host faculty/staff must pick up room key at the residence.  
6) All rooms are non-smoking. Smoking is only allowed in a designated smoking area.
7) Each room is equipped with cookware, tableware, bed sheets and clean towels (rental). Please prepare toiletries, detergent and other daily necessities by yourself, if needed.
8) As there is no room cleaning service during your stay, please clean the room, wash your bedding and dispose garbage (sort and dispose garbage according to the rules of each residence and ward) by yourself.
9) Please notify to the manager and International Residence for Researchers Reservation Center in advance if you will be away from the residence for more than one night. 
10) Please note that cancellation fee will be charged for any cancellation or shortening of stay after your reservation is complete (please refer to "Cancellation Policy").
11) Please report all lost and damaged keys to the manager immediately. You will be charged replacement fees for the key(s) and door handle of approximately ¥20,000(JPY).
12) Accompanying person(s) are only allowed to stay in the same room as the guest(s) who are eligible to stay in the International Residence for Researchers.
13) The invoice for accommodation fee will be issued about a week before the check-in date. (The invoice will be sent via email to the host faculty/staff)

14) Payment method: Bank transfer or Credit Card payment only.
*Cash or Overseas remittance are not accepted.

We only accept applications from faculty/staff (full-time) of Meiji University.
